Spring 2021 In-Person Event Request taking place after April 1st.

Spring 2021 In-Person Event Request taking place after April 1st.

Hope you are excited about the start of Spring 2021! We are reaching out to introduce the process for requesting approval for face to face/in-person event/meeting/gathering requests. At this time, events occurring prior to April 1, 2021 will not be considered.  Should the COVID 19 pandemic improve dramatically prior to that date, new guidance will be communicated.

Our goal this semester is to provide as much of a well-rounded and safe co-curricular experience for all students. This approval process will allow any RSO to submit their plans for in-person/face to face activities to the Office of Student Affairs. This office will then request to meet with the student submitting the form for a short meeting with Lynn Hobson, our Dean of Students and Dr. James Williams, Vice President of Student Affairs, to discuss the event’s finer points and how safety will be insured. During that meeting an approval or alternative virtual options will be decided.

Here is a quick outline of the request and approval process:

Process for requesting In-Person Events/Gatherings/Meetings

  1. Registered Student Organizations requesting in-person events will first need to fill out the ‘In-Person Event/Meeting/Gathering Request Form’ on Hornet Life. Form must be turned in no later than 2 weeks prior to the desired date of the event.
    1. To find this form log-in to Hornet Life, https://emporia.campuslabs.com/engage/, using your student credentials
    2. Select the “Forms” tab at the top of the page.
    3. In the “Search Available Forms” bar, type ‘In-Person Event/Meeting/Gathering Request Form’.
    4. If you have any issues accessing for finding this form, contact the Center for Student Involvement by calling 620-341-5481 or emailing csidesk1@emporia.edu.
  2. Considerations when applying to hold an in-person event:
    1. If the desired outcomes of the event can be achieved virtually then that will be the method of delivery.
    2. Events which include community service or philanthropy aspects may receive priority consideration.
    3. Events which have a "grab and go" of item(s) which can be achieved with very little interaction and are not tabling are encouraged.
    4. Events which have a known attendee invite list and/or utilize appointment registrations for known number of attendees at any given point are encouraged.
    5. Events which include food must make considerations for distribution and waste management.
  3. All events must follow ESU, Lyon County and State of Kansas mandates for social distancing and mask wearing, the highest restrictions will be the policy which is upheld.
  4. Once the form is submitted, you and your advisor will receive an email from the Office of Student Affairs. They will ask to set up a virtual meeting to discuss the event and why it should be approved to be held in-person.
    1. Who should attend meeting?

                                                    i.     At least one student representative. RSO may consider having the president/leader or the group and the organizer of the event, if these are separate individuals. An advisor may also be present.

    1. What should you expect at the meeting?

                                                    i.     A student representative will be asked to walk through the preparation, the event outline, and answer any questions about the event.

ii.     The student(s) may also be asked to follow up with more detail if the event is not fully planned out or if there are safety concerns.

    1. What is the goal or purpose of a virtual meeting?

                                                    i.     The goal of the meeting is to help to provide resources and guidance for approved in-person events and reasoning for events not being approved for in-person.

ii.     Decisions for approving or not approving events will be made during these meetings.

  1. All approvals will be contingent upon conditions leading up to the event. If the Office of Student Affairs feels as if conditions are too risky or unsafe for the event to take place they can ask and expect the RSO to cancel event all the way up to the day of the event.
